The challenge: Invoice bottlenecks slowing down the business

Our Accounts Payable Services team faced significant challenges with the invoice flow to governmental portals, a local process required by regulatory entities:

Highly manual process: Each invoice arrived separately, requiring our staff to manually open, consolidate, and combine documents using multiple applications to create a single file.

Operational bottlenecks: This labor-intensive process led to time loss, delaying document readiness and impacting overall productivity.

Costly resources: The manual effort was inefficient and costly, demanding extensive human hours just to manage document flow.

This requirement led our team to focus on this specific segment of the process and to optimize it.

The solution: Our GBS DIGI team's automation power

This is where the DIGI team, experts in automation, stepped in. They developed the OBLIVION solution, integrating an Amazon Web Services (AWS) infrastructure with Power Automate. The first phase, already fully operational, manages the reception, processing, and forwarding of invoices from suppliers to the Accounts Payable team for accounting. This phase currently handles approximately 70% of supplier invoices.

AWS: Hosts the invoice processing logic, storing both raw and processed invoices, along with metadata from received emails.

Power Automate: Acts as a task orchestrator, receiving emails, sending them to AWS for processing, and then directing processed invoices to their corresponding mailboxes.

The second phase of the project is in advanced development and will automate the forwarding of accounted invoices to regulatory entities. This modular design allows us to continuously grow and adapt.

This integrated setup means invoices flow automatically from the moment they arrive, drastically reducing manual intervention. While human oversight remains essential to ensure quality, the system handles the heavy lifting. Plus, our GBS DIGI solutions are designed to scale effortlessly, ready to embrace new suppliers as the business grows.
